The Assets configuration allows you to define which data fields are mandatory when creating or editing an asset, based on its type (location, equipment, tools, or spare parts and supplies). It also includes additional options to automate behaviors and restrict access based on location.
Access this configuration from Settings > Modules > Assets.
The following are the fields that can be configured as mandatory:
For Location-type Assets:
Name: The name used to identify the asset.
Code: Unique identification code assigned to the asset within the system.
Address: Physical address of the place where the asset is located.
City: City where the asset is located.
Area Code: Code identifying the specific area or zone where the asset is located within the organization or facility.
Department/State/Region: Administrative location of the asset within the organization, which may be a department, state, or geographic or administrative region.
Country: Country where the asset is located.
Located in or is part of: Hierarchical location of the asset within the system, considering its relationship with other assets or areas, and how it is displayed to other users. This can include sections or subsectors within the facility or work area.
Type: Catalog grouping different types of assets (for example, machinery, tools, equipment, etc.), allowing assets to be categorized according to their nature or function.
Classification 1: Field for users to define a first classification criterion for the asset, according to the organization's needs or focus (for example, specific use, function, etc.).
Classification 2: Field for users to define a second classification criterion for the asset, according to the organization's needs or focus.
Barcode: Unique barcode assigned to the asset, used for identification and tracking.
Notes: Free text field where any additional information related to the asset can be added, such as maintenance observations, repair history, special conditions, among others.
Priority: List of priorities categorizing assets according to the urgency of attention or maintenance, determining which require immediate or frequent attention within the system (for example, very high, high, medium, low, very low priority).
Cost Center: Field that assigns the asset to a cost center within the organization, allowing tracking and control of expenses associated with the maintenance and management of the asset.
Additional options for locations
Mark Custom Form as mandatory: you must complete the Custom Form before saving a new or edited location, just like the other mandatory fields in this tab.
Automatically update work orders and requests when the location of the asset is edited: any change in the location of an asset is immediately reflected in the associated Work Orders and Work Requests, without needing to update them manually. For synchronization to work, also activate the equivalent option in the Equipment tab.
For users limited by location, include assets from the assigned location as a restriction: users with location-restricted access can view and interact with assets located below their assigned location, as well as with the root location where those assets are found.
Equipment-type Assets:
Name: The name used to identify the asset.
Code: Unique identification code assigned to the asset within the system.
Manufacturer: Name of the asset's manufacturer.
Brand: Brand of the asset.
Model: Model of the referenced asset.
Serial Number: Serial number associated with the asset, generally established by the manufacturer.
Other 1: Field for users to define a classification criterion for the asset.
Other 2: Field for users to define a classification criterion for the asset.
Located in or is part of: Hierarchical location of the asset within the system, determining its relationship with other assets or areas, and how it is displayed in relation to other users.
Type: Catalog grouping different types of assets (for example, machinery, equipment, tools, etc.).
Classification 1: Field for users to define a first classification criterion for the asset, according to the organization's focus or needs (for example, function, etc.).
Classification 2: Field for users to define a second classification criterion for the asset, according to the organization's needs or focus.
Barcode / NFC: Unique barcode assigned to the asset, used for identification and tracking in inventories and audits.
Notes: Free text field to add additional relevant information about the asset, such as observations or maintenance details.
Priority: List of priorities where assets are categorized according to the urgency of attention or maintenance (for example, very high, high, medium, low, very low priority).
Visible to all: Option that allows defining the asset's visibility for all system users, regardless of their hierarchical level or location on the platform.
Purchase Date: Date the asset was acquired.
Average Daily Usage Hours: Average daily hours the asset is used. By default, the system sets this to 24 hours. This information is important for calculating key performance indicators.
Additional options in the Equipment tab
In addition to the mandatory fields, the Equipment tab includes two additional options that you can enable or disable according to your organization's needs:

Tool-type Assets:
Unit: Identification of how the item will be quantified (for example, unit, liters, gallons, etc.).
Name: The name used to identify the asset.
Code: Unique identification code assigned to the asset within the system.
Part Number: Unique code assigned to a specific part or component of an asset, used for its management within the system. The part number facilitates tracking, spare parts purchasing, and inventory management.
Manufacturer: Name of the asset's manufacturer.
Model: Model of the referenced asset.
Material: May refer to the type of substance of the component.
Other 1: Field for users to define a classification criterion for the asset.
Other 2: Field for users to define a classification criterion for the asset.
Limit access to this location: Option that restricts access to a specific location within the system, so that only certain authorized users or groups can view or interact with assets located in that area.
Type: Catalog grouping different types of assets (for example, machinery, equipment, tools, etc.).
Classification 1: Field for users to define a first classification criterion for the asset, according to the organization's focus or needs (for example, function, etc.).
Classification 2: Field for users to define a second classification criterion for the asset, according to the organization's needs or focus.
