Kanban view, a powerful tool for organizing and tracking tasks, is presented as a visual dashboard that organizes work orders into different states through columns. This article breaks down how to get the most out of this intuitive interface.

Understanding the Kanban Structure

The Kanban view divides work orders into four key columns:

  1. Pending Tasks

  2. Work Orders in Process

  3. Work Orders under Review

  4. Completed Work Orders

Exploring the Different Task States

In the Kanban view, each task is classified into one of the following states, providing a clear view of the progress and current status:

1. Pending Tasks

Pre-execution state, where the task is waiting to be assigned as a work order.

Iconography of pending tasks:

  1. Selection Box: A box with the ability to be selected; once the selection is activated, options such as mass rescheduling or creating a Work Order (WO) are enabled.

  2. Priority Type: This field shows the priority level, ranging from very low to very high. In addition, it indicates whether the asset is in service or out of service.

  3. Task Description: The type of performance being requested is explained, providing details on the nature of the task.

  4. Asset Icon: This section describes the type of asset that will be intervened. If there are several assets, it will be identified as "Multiple Assets".

  5. Estimated Duration: The estimated time given by the planners for the intervention of the asset.

  6. Activator Type: Indicates the periodicity with which the task will be executed, either monthly, every 6 months, every 12 months, based on a meter measurement, or if it is an unplanned task, where it will be specified as "Unplanned Task".

  7. Schedule Date: Shows the date on which the task is planned or scheduled for execution.

  8. Reschedule: Option that allows the task to be rescheduled. To do so, you must add a cause for rescheduling, the new date for scheduling the activity and an explanatory note.

2.Work Orders in process

Initial stage of a work order assigned to a technician, indicating that execution is in progress.

OT Iconography in process:

  1. Work Order Consecutive with Prefix and Subfix: The unique consecutive of your organization's work order is presented here, along with its prefix and subfix, previously configured in the configuration module. This information reflects the specific identification of the work order within your system.

  2. Number of assets to be intervened: This section describes the number of assets to be intervened within the same WO.

  3. Linked Tasks: This field indicates the number of associated tasks that are related to the same Work Order (WO).

  4. Asset Icon: This section details the type of asset that will be subject to intervention. In the case of multiple assets, it will be identified as "Multiple Assets"; in the case of a single asset, the corresponding name will be specified.

  5. Task progress: An indicator of the progress of the task expressed in percentage is provided, ranging from 0% to 100%. It is important to note that any task that does not reach 100% progress and is marked as completed will be reassigned to the list of pending tasks.

  6. Estimated Duration: Provides the estimated time given by the planners for the intervention of the asset.

  7. Schedule Date: Shows the date on which the task is planned or scheduled for execution.

  8. Technician Name: Indicates the name of the person responsible for the activity.

  9. More Options: In this section, you will find various functionalities to interact with the TO:

    • Open PDF: Opens the progress of the work order in PDF format, detailing the progress made.

    • History: Shows the traceability of the work order, including start and pause dates and times, etc. (Accessible only to people with specific permissions).

    • Cancel: Allows you to cancel the work order; a reason for cancellation and a note are required. The work order will return to the to-do list.

    • Mark: Marks the work order, highlighting it with yellow color and a flag at the top right, making it easy to identify it among the other tasks.

3. Work Orders under review

Phase in which the work order has been executed and is subject to review prior to completion.

  1. Last step, marking the conclusion of the work order. This step triggers the generation of the next schedule for the task and the calculation of the associated management indicators.

For detailed information on priorities and active statuses, you can click on the information icon. This action will provide you with an easy-to-understand visual representation, using symbols and colors, to quickly understand the importance and status of the tasks present in the Kanban interface.

This Kanban view not only provides an efficient way to organize tasks, but also offers quick access to crucial details, allowing you to optimize the management of your projects and resources.
