How to prepare the import sheets?

The fields or descriptive headers of the columns in the import sheets may vary depending on the module in which the import is to be carried out. However, the basic principle is the same in all the modules in the platform.

Example: Asset Facilities Import Sheets

The Asset Facilities import sheets must be made up of columns that contain the information described below:

  • Name: Refers to the name of the Facility to be added.

  • Address: Refers to the physical address where the Facility is located.

  • City: Refers to the city where the Facility is located.

  • Zip Code: Refers to the area code associated with the Facility to be added.

  • Department/ State/ Region: Refers to the department, state, or region of the Facility.

  • Country: Refers to the country where the Facility to be registered is located.

  • Code: Refers to the unique code that must be assigned to the Facility. This field is relevant when locating other assets within that location and performing analysis filters in the system. When numerical asset codes are not available, an alternative is to use the acronym "Act.", followed by "Loc- "plus a correlative number, for example, ACT.LOC-0001

  • Barcode: Refers to the barcode or NFC assigned to the Facility.

  • Priority: Refers to the priority that the Facility has in the system. This priority must be placed numerically according to the following equivalence:

o 1 = Very High

o 2 = High

o 3 = Medium

o 4 = Low

o 5 = Very Low

  • Type: Refers to how the Facility will be categorized in the system according to its type. This field is important for performing analysis filters in the system.

  • Group 1: The system allows the user to link an asset to a corresponding group. Group 1 will refer to the asset’s primary grouping. Note, search filters can be made through this field.

  • Group 2: Similar to Group 1, but refers to the assets secondary grouping. Note, search filters can be made through this field.

  • Cost Center: It refers to the cost center associated with the Facility.

  • Notes: Text type fields where you can add a note associated with the Facility.

  • Parent Code (Located in or Part of): Refers to the parent location where the asset is found within the system. Assets with the same parent code will be grouped in the same location in the asset tree hierarchy.

Note: In the event that certain fields don’t apply to certain locations, for example the zip code or the city for bathrooms or offices, that field can be left empty on the platform.
